Privacy Policy

This Privacy Policy explains how Canadian AI Solutions Inc. ("Canadian AI", "CAI", "we", "us", or "our") collects, uses, discloses, retains, and protects personal information when you use our websites, applications, AI-enabled tools, software, services, or communicate with us.
Independent private company
Canadian AI Solutions Inc. is a privately held Canadian company. We are not a department, agency, Crown corporation, program, representative, or other part of the Government of Canada or any provincial, territorial, municipal, or foreign government. We are not sponsored by, endorsed by, or affiliated with any government unless we expressly identify a specific written relationship. The word "Canadian" in our name describes our company and market focus; it is not a government designation.
1. Information we collect
Depending on how you use CAI, we may collect:
- Account and identity information: name, email address, authentication identifiers, organization or workspace membership, and account preferences.
- Business and workspace content: business descriptions, documents, prompts, messages, files, website content, project data, workflow information, and other information you choose to provide to our products.
- Transaction information: order identifiers, plan or product selected, billing status, amounts, credits, and related payment metadata. Payment card details are generally processed by our payment provider rather than stored directly by CAI.
- Technical and usage information: IP address, browser and device information, pages or product surfaces used, referring source, timestamps, diagnostic data, security events, and product analytics.
- Communications: support requests, emails, meeting notes, feedback, survey responses, and other communications with us.
- Connected-service information: information you authorize us to access from third-party integrations or services you connect to CAI.
2. How we use information
We may use personal information to:
- provide, personalize, operate, maintain, and improve CAI products and services;
- authenticate users, administer accounts, workspaces, credits, purchases, and deployments;
- process requests, transactions, support inquiries, and service communications;
- generate software, content, recommendations, analyses, or other AI-assisted outputs you request;
- protect users, prevent abuse or fraud, enforce our terms, and maintain platform security;
- measure product performance and understand how our services are used;
- comply with legal obligations and establish, exercise, or defend legal claims; and
- send marketing communications where permitted, subject to your ability to unsubscribe.
3. AI processing
Some CAI features use artificial intelligence models, software-development systems, enrichment services, or other automated tools. Information you submit to those features may be transmitted to service providers that help us generate the requested result. We limit that processing to what is reasonably necessary to provide and operate the applicable feature, subject to our agreements and configurations with those providers.
Avoid submitting personal information that is not necessary for your task. If you use CAI on behalf of another person or organization, you are responsible for ensuring you have authority to provide the information you submit.
4. Service providers and disclosures
We may disclose information to vendors and service providers that help us operate CAI, such as hosting and deployment providers, authentication services, databases, payment processors, analytics providers, communications providers, AI/model providers, and software-development infrastructure. Examples of services used in parts of the CAI platform may include Clerk, Convex, Vercel, Stripe, OpenPanel, and AI or model providers used for a specific feature.
We may also disclose information:
- when you direct us to do so or connect a third-party service;
- to professional advisers where reasonably necessary;
- in connection with a financing, merger, acquisition, reorganization, or sale of business assets;
- to comply with law, legal process, or lawful requests; or
- to protect rights, safety, security, users, or the integrity of our services.
We do not sell personal information as a business model.
5. Cookies and analytics
CAI and our service providers may use cookies, local storage, and similar technologies for authentication, security, preferences, analytics, attribution, and product functionality. Browser controls may allow you to block or delete some technologies, although doing so can affect product functionality.
6. Consent and your choices
Where consent is the appropriate legal basis for processing, you may withdraw consent subject to legal or contractual restrictions and reasonable notice. Withdrawal may mean we cannot continue providing a feature that depends on the information concerned. You may also unsubscribe from marketing messages using the unsubscribe mechanism provided in those messages.
7. Retention
We retain personal information only for as long as reasonably necessary for the purposes described in this policy, to provide the services you request, meet legal or accounting obligations, resolve disputes, and enforce agreements. Retention periods vary based on the type of information, product, contractual commitments, and applicable law. Information may be deleted, anonymized, or securely destroyed when it is no longer required.
8. International and cross-border processing
CAI is a Canadian company, but some service providers may process or store information outside Québec or Canada. As a result, information may be subject to the laws of the jurisdiction where it is processed. We assess service-provider and cross-border privacy considerations as appropriate to the sensitivity and use of the information involved.
9. Security
We use administrative, technical, and organizational safeguards designed to protect information against unauthorized access, use, alteration, disclosure, or loss. No internet-connected service or storage system can be guaranteed to be completely secure.
10. Access, correction, deletion, and privacy requests
Subject to applicable law, you may request access to personal information we hold about you, ask that inaccurate information be corrected, or make other privacy requests available in your jurisdiction. We may need to verify your identity before completing a request.

11. Privacy accountability
The Privacy Officer of Canadian AI Solutions Inc. is responsible for overseeing our privacy practices and receiving questions or complaints relating to personal information. Contact the Privacy Officer at hello@canadian-ai.ca.
Our privacy practices are intended to reflect applicable Canadian private-sector privacy requirements, including Québec privacy requirements and, where applicable, the Personal Information Protection and Electronic Documents Act (PIPEDA).
12. Business services and customer-controlled data
Some CAI products are provided to businesses that control the information processed through their own deployed solution. In those cases, the customer may be responsible for its own privacy notices, legal bases, access requests, and instructions to us. Contract-specific data-processing terms may supplement this policy.
13. Changes to this policy
We may update this Privacy Policy as our products, providers, or legal obligations change. We will publish the current version here and update the effective date. Where required, we will provide additional notice of material changes.
